Booking Policies & Terms of Service – Machupicchu Spirit
1. Reservation Confirmation and Payments
To guarantee the operation of our services, we follow this protocol:
- Booking Deposit: An advance payment of 50% to 60% of the total cost is required to confirm the reservation. This amount is used for the immediate purchase of government permits, train tickets, and Machu Picchu entrance fees, which are non-transferable and have limited availability.
- Balance Payment: The remaining balance must be paid in full 48 hours before the tour starts or, in exceptional cases previously coordinated, in cash during the briefing in Cusco.
- Payment Methods: We accept bank transfers, credit/debit card payments (subject to processing fees), and digital platforms such as PayPal or Payoneer.
2. Documentation and Legal Requirements
- Valid Passport: Passengers must provide a legible copy of their passport with at least 6 months of remaining validity. The information must exactly match the document presented at checkpoints.
- Travel Insurance: Machupicchu Spirit strongly recommends that all travelers purchase travel insurance covering medical expenses, accidents, lost luggage, and cancellations due to force majeure.
3. Cancellations, Withdrawals, and Refunds
We understand plans can change; however, our logistics are based on non-refundable advance payments to third parties:
- More than 45 days notice: The deposit is refundable, minus administrative fees (approx. 15%) and the cost of non-refundable tickets already issued (Machu Picchu and train tickets are 100% non-refundable by law).
- 44 to 15 days notice: The booking deposit is considered a total loss as services and spaces have been blocked and paid for.
- Less than 14 days notice or No Show: No refund will be granted. The client is responsible for 100% of the scheduled tour cost.
4. Spiritual and Adventure Tours (Risk Acceptance)
- Physical Condition: By booking adventure or spiritual tours (Ayahuasca/Huachuma), the client declares they are in optimal physical and mental health. It is mandatory to disclose any medical conditions, allergies, or current medications.
- Compliance: The guide or shaman in charge has full authority to suspend a traveler’s participation if their behavior is deemed a risk to themselves or the group.
5. Modifications and Itinerary Changes
- Client Requests: Any change in date or route requested by the client is subject to availability and may incur penalties imposed by hotels, train companies, or the Ministry of Culture.
- External Causes (Force Majeure): In the event of strikes, natural disasters, extreme weather, or government closures, Machupicchu Spirit will seek alternatives to fulfill the service. If the tour cannot be performed, it will be rescheduled; if rescheduling is not possible, a travel credit will be offered.
6. Limited Liability
Machupicchu Spirit acts as an intermediary between the client and transportation companies, hotels, and government entities. We are not responsible for personal injury, illness, theft, or property damage occurring outside of our direct control, though we will provide all necessary assistance in case of incidents.
