Last Updated: October 2026
Please read these Terms and Conditions carefully before booking any tour, trek, spiritual retreat, or travel package with Machu Picchu Spirit. By making a reservation and paying a deposit, you confirm that you have read, understood, and agreed to be bound by the policies outlined below.
1. Booking and Reservations
- To secure a reservation, clients must provide full legal personal details (full name as shown on passport, passport number, nationality, date of birth, and gender) along with the required initial non-refundable deposit.
- A booking is considered confirmed only after Machu Picchu Spirit issues written confirmation via email following receipt of the required deposit.
2. Passports and Documentation
- All travelers must hold a valid original passport with a minimum validity of six (6) months from the date of entry into Peru.
- The passport number used during booking must match the passport presented at checkpoints (Inca Trail checkpoints, train stations, and Machu Picchu entrance gates). If you renew your passport prior to travel, you must notify us immediately and present both original documents.
3. Payment Terms
- Deposit: A non-refundable deposit is required at the time of booking to purchase non-transferable permits, train tickets, and entrance fees.
- Final Balance: The remaining balance must be settled prior to the departure of the tour/trek (typically upon arrival in Cusco during the pre-departure briefing or according to the payment schedule specified in your booking confirmation).
- Payments can be made via authorized payment gateways, bank transfers, or cash (USD or Peruvian Soles). Any processing or transaction fees charged by payment platforms or banks are the responsibility of the client.
4. Cancellation and Refund Policy
Due to strict regulations by the Peruvian Ministry of Culture and railway companies, government permits and train tickets are non-refundable and non-transferable once purchased.
- Inca Trail & Permits: Deposits for the Classic Inca Trail, Short Inca Trail, and Machu Picchu entrance tickets are non-refundable and cannot be changed or transferred to another person under any circumstances.
- Client Cancellations:
- Cancellations made 30 days or more prior to departure: The initial deposit is retained; any additional payments made above the deposit and non-refundable costs will be evaluated for partial refund or credit.
- Cancellations made less than 30 days prior to departure: Non-refundable.
- No-Show: If a passenger fails to arrive for scheduled transfers, briefings, or departures, no refunds or date modifications will be granted.
5. Itinerary Alterations and Force Majeure
- Machu Picchu Spirit reserves the right to modify routes, schedules, or accommodations when deemed necessary for the safety and well-being of clients due to events beyond our operational control (Force Majeure), including severe weather conditions, landslides, strikes, political demonstrations, road closures, or government-mandated travel restrictions.
- Any additional expenses resulting from delays or changes caused by Force Majeure events are the responsibility of the traveler.
6. Health, Fitness, and Medical Conditions
- Many of our tours and treks operate at high altitudes (ranging from 2,400 to over 5,000 meters above sea level) and require an adequate level of physical fitness.
- Travelers are advised to spend at least 2 to 3 days acclimatizing in Cusco or the Sacred Valley prior to undertaking strenuous mountain treks.
- Clients are obligated to inform Machu Picchu Spirit of any pre-existing medical conditions, allergies, or physical limitations prior to booking.
- Participants in spiritual retreats involving ancestral plant medicines (Huachuma/Ayahuasca) must disclose all health conditions, dietary restrictions, and medications in advance to assess safety eligibility.
7. Travel Insurance
- Comprehensive personal travel insurance is mandatory for all clients booking trekking, adventure, or multi-day packages.
- Insurance policies must provide coverage for high-altitude trekking, medical emergencies, emergency evacuation/repatriation, trip cancellation, and loss of personal belongings.
8. Responsibility and Liability
- Machu Picchu Spirit acts as an operator and intermediary for transport, accommodations, and related travel services. While we take every precaution to ensure safety and quality, we are not liable for personal injury, property loss, damages, or unforeseen delays caused by third-party service providers, natural disasters, or traveler negligence.
- Travelers are responsible for their personal belongings throughout the entirety of the trip.
